When writing a standard business letter, it is important to be professional, however, do not use vocabulary that is too formal. Avoid this, because you do not want to alienate any reader. Find a happy medium in communication. In your letter, you should include the date, return address, Recipient’s address, Greeting, your message, closing, signature and printed name. Your signature should start directly above the first letter of your typed first name. When writing your signature, you should only use blue or black ink.

The presentation should be neat and clean Make sure your letter is aligned. You should use a block format, indented format, or modified block format. You should spell check or proof read your letter carefully, to avoid grammar and spelling mistakes. Overlooking mistakes will cause business to question your credibility and will not take you seriously. There is a good chance your letter will not even be completely read. If you have more than one paragraph in the body of your letter, be sure to skip a line between each paragraph. This will keep the letter looking neat and clean. Be sure not to make your letter too lengthy. Formal business letters should be to the point. The heading of your letter contains the return address, email, and telephone number. Skip a line and add the date.
